When an n8n consultant becomes useful

A single broken workflow can be fixed quickly. An instance that moves leads, payments, customer data or daily operations needs a different level of ownership: visible failures, safe retries, duplicate prevention and a clear person responsible for each critical path.

I step in when multiple workflows and APIs must evolve together, when a migration cannot interrupt production, or when the team needs one consultant who can connect infrastructure, business logic and AI. The first deliverable is a prioritized view of the current system, not an automatic rebuild of everything.

Migration without breaking production

An n8n migration starts with an inventory of active workflows, credentials, webhooks, environment variables, community nodes, execution volume and external dependencies. I separate what can move unchanged from what should be corrected before cutover.

The migration plan covers export, import, secure secret handling, tests with controlled data, cutover timing and rollback. Decrypted credential exports are used only when necessary and treated as temporary secrets. The official n8n CLI documentation remains the reference for export and import operations.

Self-hosting sized for the actual workload

Self-hosting is more than keeping a Docker container online. A production-ready setup needs an explicit PostgreSQL database, encryption key, backups, execution retention, updates, monitoring and administrator access policy.

For moderate workloads, a simple architecture is often the most reliable. n8n queue mode adds Redis and workers to distribute executions when concurrency, long-running jobs or webhook peaks require it. I add that complexity after measurement, together with recovery procedures and n8n's built-in security audit.

AI prospecting and automation with controls

n8n can connect Apify, Apollo, a CRM and an AI model to collect an authorized signal, enrich a company, apply an ICP score and prepare a relevant outreach angle. The value comes from context and prioritization, not automatic send volume.

I keep explicit safeguards in the workflow: approved sources, deduplication, frequency limits, exclusion lists, human message approval and an action log. The same architecture can support customer service, document processing, reporting or data synchronization across several systems.

Remote delivery that stays readable

I work from Antananarivo in GMT+3 with European and international teams. For a US team, we agree on a useful overlap window and keep the rest asynchronous through written specifications, short progress updates, recorded decisions and live or video demonstrations.

Workflows are delivered with stable naming, operating notes, versioned exports and a clear credential checklist. This reduces dependence on one person and leaves the internal team able to operate the system.

Engagement and rate structure

My standard rate is $400/day or EUR 350/day, depending on the contract currency. A first engagement can begin with a short audit that produces recommendations, priorities and an implementation estimate. Migrations and new workflows can then be delivered in scoped batches or on a time-spent basis when uncertainty remains high.

For a six-month or longer project, we can reserve weekly capacity after confirming scope, ownership and collaboration hours. Exact availability is confirmed during the discovery call.

Yes, when the workload justifies it. Queue mode uses Redis and workers to distribute executions. I first measure concurrency and bottlenecks before adding that operational complexity.

Yes. We combine an agreed overlap window with written specifications, asynchronous updates and demonstrations. I work from the GMT+3 time zone.

Can you integrate Apify, Apollo and AI models?

Yes. I can connect those tools to n8n, your CRM and internal APIs for enrichment, scoring or action preparation. Human approvals, exclusions and send limits remain explicit.

How do you protect credentials and business data?

Secrets stay in a secret manager or environment variables, access is limited, sensitive exports are temporary, and the instance has a controlled encryption key, backups and a security audit.

Is n8n Cloud or self-hosting the better choice?

n8n Cloud reduces infrastructure work. Self-hosting gives more control over infrastructure and data but requires backups, upgrades, monitoring and security ownership. The right choice depends on risk, volume and internal capability.
